The Practice Equipment Care Calendar

Twenty minutes a week, spread across the people already in the room, is the difference between equipment that lasts its full life and a chair that fails mid-clinic.

Nothing here needs a technician. Every task below is one your own staff can do at the end of a session, using what is already on the bench. The annual list is the exception, and it is marked.

How to use it

Print it and pin the daily page by the sterilisation bench, where the work actually happens.

Give each frequency to one named person. A task owned by everybody is owned by nobody.

JODROC The daily and weekly round

Every day, before you lock up

Ten minutes. The person who closes the clinic.

Flush every handpiece line for 20 to 30 seconds. Standing water is where biofilm starts.

Run suction line cleaner through the system. Skipping this is the commonest cause of a weak pump.

Empty and rinse the suction traps. A blocked trap makes the motor work against itself.

Drain the compressor condensate at the tank valve. Water becomes rust, then rust in the lines.

Wipe chair, light handles and delivery arm with the surface disinfectant, not a solvent.

Check the autoclave reservoir. Distilled or RO only, below 15 microsiemens per centimetre.

Lubricate handpieces after the last sterilisation cycle, per the manufacturer's card.

Log the last autoclave cycle result. Thirty seconds now, an answer ready for the inspection.

Once a week

Twenty minutes. Pick a fixed day and keep it.

Deep-clean the suction traps and check the amalgam separator level.

Wipe the autoclave door seal and look at it in the light. A hardening seal fails a cycle before it fails a test.

Change the ultrasonic bath solution and wipe the tank. Old solution stops cleaning and starts corroding.

Check the compressor air filter for dust. In a dry season this matters weekly, not monthly.

Lay each lead apron flat and look along it for creases. Never fold them, never hang them on a hook.

Count the fast-moving stock against the week's usage: burs, files, cartridges, gloves.

Once a month

Clean or replace the autoclave water filter; lift the safety valve once.

Drain the compressor receiver fully and check belt tension.

Clean the suction separator and test the non-return valve.

Look under the chair column for hydraulic weeping; test the foot control.

Test the emergency stop, and check the light arm holds position.

Read the date on the RO cartridge. Order the next before it expires.

Every three months

Send handpieces for service — bearings and o-rings, before they seize.

Run a helix or vacuum test on a class B autoclave and file the printout.

Gauge the scaler tips. A tip 2 mm short has lost most of its power.

Test every battery: defibrillator, oximeter, UPS. Replace on date, not on failure.

Review the sharps and waste collection records against your licence.

Check instrument sets for pitting; pull anything corroding.

Once a year, by an engineer

Not optional, and not do-it-yourself. Each one produces a certificate an inspector can ask for.

Autoclave requalification and pressure vessel inspection (EN 13060, ISO 17665).

Electrical safety test on all mains equipment (IEC 60601-1).

X-ray output check and radiation licence renewal.

Compressor and suction plant service, with filters replaced.

Chair and unit full service — hydraulics, upholstery, tubing.

Analyser and centrifuge calibration, certificates issued.

JODROC Warning signs and your record

Call before it fails

Each of these is a machine telling you it has weeks left, not months. Acting on it costs a service visit. Waiting costs a replacement and a cancelled list.

→A handpiece running hot or noisy — bearings are going.

→An autoclave taking longer to reach temperature.

→A chair that drifts down under load, or rises unevenly.

→A compressor cycling more often for the same workload.

→Weak suction that does not recover after cleaning the traps.

→Films or sensor images needing more exposure than they used to.

→Any breaker that trips twice. Once is an event; twice is a fault.

→A seal, tube or apron you have started working around rather than replacing.

Section 05 needs test equipment and a signature. Our engineers do that work on contract for practices across Kenya, Tanzania and Uganda, whether or not we supplied the machine — scheduled at signing, with wear parts included and a documented record per machine.
